Accessible Email Signature Tips

Adding accessible images to a Gmail signature requires adding Alt Text to the image in a Google Doc and then cutting and pasting it into the Gmail signature field in your Gmail settings. 

  1. Create a new Google Doc
  2. Copy the Text from the Sample Weld RE-1 email signature
  3. Paste what you copied into the new Google Doc you created
  4. Change the Personal Details
    1. Add your Name, Job Title, and contact information as indicated in the signature format. 
    2. Hyperlink your email address:
      1. highlight email address text
      2. Click the link icon below the signature box
      3. The website address will be recognized and will be an underlined link

5. Select the appropriate default signature for new emails and replies /forwards

6. Add your School logo 

7. Right-click on the image and click "Alt Text", or select the image and press Ctrl+Alt+y

8. Add a descriptive Title and Description for the image and click OK. 

           1. e.g, Title: Weld County School District RE-1 Logo

           2. e.g., description: Black "V" with a yellow stripe on the right side of the                 "v" With the school or district name next to it. 

9. Add any other signature images/or badges you have received

Note: Adding more than one image to your signature may cause an "Exceeds character limit" error.

10. Add links to your images as needed by selecting the image and adding a hyperlink. 

11. Add alt text to all images in your signature using the same process in steps 6 and 7.

12. Copy your new signature in your Google Doc, select the full signature, and press Ctrl+C.

13. Go to Gmail settings using the gear icon at the top left, select "See all settings"

14. Scroll down to signature

15. Click "Create New" and choose a signature name

16. Paste what you copied into the section above into the signature box. The formatting changes you made including alt text will carry over to Gmail.

17. Scroll to the bottom of the settings page and select "save Changes"

18. Test signature settings by sending an email to yourself
